Cancellations and Promotions Policy

By accessing or using the Platform, you agree to be bound by these Terms. If you do not agree, please do not use the Platform.
1. Refunds, Voids, and Cancellations

• Standard Administration Fee: All shipment label refunds, voids, or cancellations are

subject to a $3.00 administrative fee per transaction.

• Volume Perks user & Affiliate code users Fee: For Volume Perks or Affiliate code users,

shipment label refunds, voids, or cancellations are subject to a $1.00 administrative fee

per transaction.

• Fee Waiver (Wallet/Credit Incentive): The administration fee will be completely waived if

the user selects the ShipVia Wallet (for registered account users) or Email Credit (for Guest

users) as their refund method instead of the original payment method.

• Carrier & Partner Approval: Refund eligibility is determined strictly per the carrier’s

policies and our upstream partner policies. ShipVia Couriers does not guarantee the

approval of refund requests.

• ShipVia Package Protection Exclusion: ShipVia Package Protection (Shipping Guarantee)

is non-refundable once purchased, even if the corresponding shipping label is later voided

or cancelled.

• ShipVia Pickup or Drop off Hub Services: Where applicable, the fees charged for ShipVia

Residential Pickup (Handover to carrier location service) or ShipVia Dropoff hub will be

refunded if the service was cancelled.

ShipVia Couriers will provide status updates for all pending refunds through the user dashboard

or registered email. Customers are encouraged to track refund status via their ShipVia Couriers

account.

2. Additional Administrative Fees

Certain post-shipment or account-related situations may incur additional administrative charges:

• Post-Shipping Billing Adjustments: Carrier adjustment fees, late charges, unpaid duties,

return-to-sender costs, or other post-shipping charges or billing discrepancies will incur a

$15.00 administration fee per occurrence.

• Volume perks user & Affiliate code user post-shipping adjustments Fee: For Volume

Perks or Affiliate code users, the administration fee for the above post-shipping billing

scenarios will be reduced to $5.00 per occurrence.

• Compliance & Legal Auditing: Account investigations, disputes, chargebacks, and

compliance reviews may result in administrative or recovery charges, including penalties,

loss recovery, or other reasonable costs plus any associated third-party fees or legal fees

assessed by ShipVia Couriers.

• Non-Refundability: All administrative fees are non-refundable once charged.

3. Coupons and Promotions

Coupon usage, logic, and behavior differ between general users and Volume Perks / Affiliate code

users.

a. Public Coupons

• Public or general-use coupons apply before taxes and Optional Add-ons to the base

ShipVia rates only.

• They cannot be combined with other offers, volume perks discounts, or promotions unless

explicitly stated otherwise.

• All coupon values or discounts may vary based on the localized platform domain (.ca or

.com) and are listed in CAD or USD accordingly.

b. Partner, Affiliate code users or Volume Perks user Coupons

• Volume Perks / Affiliate code Program: All eligible ShipVia Couriers users may participate

in the Volume Perks or Affiliate code Program. Coupons for these users will be strictly

limited, as they already have access to specialized base perks compared to general users.

When a coupon is explicitly allowed, the same structural rules as public coupons apply.

• Program Governance: The terms, benefits, and discount structures for such programs are

governed by the Volume Perks or Affiliate code User Agreement or other written

partnership documentation operating in conjunction with the ShipVia Couriers Master

Terms and Conditions and Privacy Policy.

• Audit & Restrictions: All perks are subject to verification, usage limits, and program-

specific conditions. Unauthorized use, resale, or transfer of coupon or affiliate codes is

strictly prohibited and may result in immediate code cancellation, benefit reversal, or

account suspension.

c. Third-Party Promotions and Perks

From time to time, ShipVia Couriers users (both Volume perks /Affiliate code users and General

users) may participate in non-discount coupon promotions.

• Incentive Delivery: These promotional coupons will not reduce the base ShipVia shipping

rates directly; instead, a third-party incentive or Gift Card will be provided.

• Verification Delay: Gift Cards or incentives are usually issued 48 hours after shipment

generation and only upon successful verification of physical tracking or carrier scans.

• Validity: Gift cards or third-party incentives are valid only according to their specific

promotional conditions, expiration dates, or advertisements. Promotional rewards or

offers are time-limited and subject to strict verification before deployment.

4. Refunds Affecting Promotional Benefits

If a shipment benefited from a coupon, cashback, or promotional perk and is later cancelled or

voided:

• The associated promotional benefit, reward, or incentive will be rendered void.

• ShipVia Couriers reserves the right to revoke, cancel, or charge back the credited value of

the promotion to the customer’s original payment method or platform balance.

5. Discretion and Adjustments

ShipVia Couriers retains full operational discretion to:

• Modify, suspend, or discontinue any coupon, promotion, volume or tier perk, or

administrative fee structural rate at any time, with or without notice.

• Apply, waive, or reduce fees on a case-by-case basis based on business needs, strategic

partnerships, relationship history, or customer goodwill considerations.

• Correct errors or adjust ledger charges where reasonably necessary to maintain

operational fairness or alignment with internal policies.

6. Compliance and Interpretation

All policies herein are governed by the ShipVia Couriers Platform Master Terms and Conditions

and Privacy Policy, as applicable. ShipVia Couriers reserves the right to amend, update, or

interpret this policy at its sole discretion to ensure fair, secure, and consistent application across

all customer accounts.
